Meeting Highlights
Introductions:
The board introduced themselves and invited new members to introduce themselves to the community.
Decorum:
We established standards for the meeting, emphasizing respectful ways to voice concerns about covenant issues.
General Information
HOA Software Program
We introduced Easy HOA, a user-friendly platform that simplifies paying dues, submitting complaints, accessing neighborhood contacts, and participating in community polls.
HOA Rules & Reminders
Important reminders about yard maintenance, speed limits, parking restrictions, pet limits (maximum of 3 dogs), and irrigation timing (1am–6am).
Trash Service
Our trash service is provided by American Waste, with pickups on Mondays. Contact them at (918) 446-0023 for any service questions.
Christmas Decoration Contest
We encouraged more participation in the holiday decoration contest this year!
Front Entrance Maintenance
Christmas lighting will continue, and the flower beds will be updated seasonally, 2–3 times per year. Currently, there is a leak in the sprinkler system that has delayed fall maintenance, but this will resume as soon as repairs are completed.
Action Items
Fencing:
We discussed the condition of the current fences and explored potential new options or repair solutions. The board will review suggestions from attendees and conduct further research. At an appropriate time, we’ll present options to the neighborhood through surveys on this platform. We understand that some neighbors may need immediate repairs; they are free to maintain the current fence style, which remains acceptable regardless of future updates.
Irrigation & Sprinklers:
Plans to repair leaks and replace damaged sprinkler caps are underway.
Summer Block Party:
We are working to finalize a date for the 2025 neighborhood block party.
Annual Dumpster Service:
We are considering scheduling a large dumpster for a community cleanup in the fall or spring.
Snow & Ice Treatment:
We plan to obtain bids for road ice treatment to ensure safe conditions in the event of winter weather.
Entrance Signage:
We discussed installing a durable sign, similar to realtor signs, to display HOA updates, freeze alerts, and potentially a “No Solicitation” message to reduce door-to-door interruptions.
Roofing Options:
We will review potential additions to the approved roofing types, colors, and materials for the neighborhood.
Fine Structure Update:
To better enforce covenant compliance, we are evaluating an update to the fine structure, focusing on rules that matter most to our community.
Road Resurfacing:
Thanks to the efforts of Sherry Stanczak and Tara Safran, Tulsa County plans to resurface our roads in 2025. We’ll continue to follow up to ensure this project remains on schedule.
A Note About the Action Items
The proposed actions received overwhelming support, with many ideas coming directly from residents. Every suggestion matters, and it’s our mission to ensure the neighborhood has a voice. As we gather information on each item, we’ll present it to the community through surveys on this platform, inviting ongoing input throughout the process.
Our board serves to reflect the desires of the community, not dictate them. We are honored to serve in this capacity, and we thank you for entrusting us with this responsibility.
